12 Stage Email Verification & Email Validation Process

  • 1. Deduplication

We get rid of all the duplicate email addresses on your mailing list. This allows your list to contain only unique addresses and thereby reduce your unsubscription rate significantly.

  • 2. Domain

We run a thorough scan of all the domains on your mailing list. We scan them and classify them as being parked/invalid/non-working domains. This helps in optimizing your open rates.

  • 3. Spam Trap

Each email address on your list is scanned against our spam trap indicators that we derived from our 380+ Mil DB. Its the most comprehensive method to avoid getting your IP’s blacklisted.

  • 4. Complainers

All email addresses on your mailing list is scanned for a match against our gigantic complainers database. If a match is found, that email will be automatically set aside to inform you about the risk.

  • 5. Risk

Our system scans across millions of email addresses and knows quite well what are deemed high-risk keywords in an email and high-risk TLDs. It will intelligently separate these out for your benefit.

  • 6. Syntax

Any email address with invalid syntax is automatically taken care of. You don’t need to worry about our system skipping these addresses. It will accurately determine what is an email address and what isn’t.

  • 7. MTA

Our scan goes much deeper than just email address. Each email address is checked for its MX records validity. All non-working and invalid MX records are efficiently dealt with.

  • 8. Suppressed Email

Do you have a collection of email addresses that have been deemed unsafe or invalid or have complained before? We can make sure your new list doesn’t contain these email addresses.

  • 9. Unbalanced Delimiter

Our system is intelligent enough to identify email addresses containing out of balance delimiters. Our algorithm is complex enough to find these records with unbalanced delimiters.

  • 10. Mailbox Error

With real-time responses from MTA, we can easily classify and segment email addresses outputting various mailbox errors including messages like “Mailbox full” (classified as soft bounce).

  • 11. Custom TLD’s

Do you have specific custom TLD’s that you want out of your mailing list. We can make it happen. Our system is advanced enough to identify and pick out those TLD’s that are unwanted.

  • 12. EV Score

Score is allotted by our system which shows the quality of the email address you have on your list. Just because the email address is valid doesn’t mean it’s a good email to send to.

Frequently Asked Questions (FAQ)

Over the years, we have developed a set of processes that help us determine the existence of an email address. Our system is programmed to carry out email verification and email validation in two sub-processes – Pre-validation and Post-validation. Pre-validation are steps taken before the actual verification begins. They include things like deduplication, spam-trap removal, complainers removal, risk checks, syntax checks, suppressed email removal, and unbalanced delimiters. Following from there, Post-validation kicks in. It involves domain checks, MTA check, Mailbox Error scanning, Custom TLD checks, and SendEV score processing.

Spam traps (aka honeypots) are email addresses that are created solely to lure spammers. In email marketing terms, it’s bait that you may fall victim to if you are collecting email addresses from wrong sources. We have a large database of these spam-trap email addresses which help us derive spam-trap indicators that we use to verify your mailing list against. If we detect any of your email addresses matching to our large database, we will automatically mark that email address as invalid helping you to stay far from the traps. When you end up sending email to one of these email addresses, your IP is recorded and you will be blocked from sending any further emails to that ISP or quite simply, they will place your mail in spam folder (away from user’s inbox).

Complainer’s email address quite literally means email addresses that have been known to complaining in the past in regards to receiving bulk emails from people. These are people who have exclusively listed their email address to opt out of any unsolicited bulk emails. These users are recorded as being generally reluctant to receiving any advertising or promotional material. We have a large number of sources where we obtain this information from and therefore help you in achieving lower spam complaints. These users clearly don’t want to receive any sort of bulk emails and therefore its best not to send them any. By avoiding sending emails to these users would mean better deliverability rates for your email campaigns.

We run a number of checks against each email address you provide to us. These include Domain Validation, Risk Validator, Syntax Verifier, MTA Validation, Unbalanced Delimiter check, and Mailbox Error Check. Domain Validation tries to eliminate email addresses that are associated to dead domains (AKA non-existent domains). This removes a majority of email addresses, which have never been registered or have been registered before but now in expired state. Risk validator measures the risk associated with particular keywords and domains. Think of it as a scale whereby our system tries to measure the possibilities of it being non-existent against it being existent. Syntax verifier is a module within the verification process that enables email addresses without proper syntax to be automatically removed. In general, all email addresses have a standard that they must adhere to. Failure to adhere is likely to causes errors and therefore likely to be non-existent. MTA stands for Mail Transfer Agent or Mail Relay. It’s software that transfers emails from one computer to another. If there is no MTA available or no response from one, it’s likely that no email addresses passing through it would actually work. Unbalanced delimiter check relies on similar principal as that of syntax but is more complicated in design. In simple terms, it tries to find any ‘outliers’ in the way email address looks and marks it with appropriate status. Mailbox error check is when sets of messages are exchanged between our verification programs to that of the email service provider causing errors while intending to transfer mail. This is also another sign of email address being invalid.

We offer a couple of options for our users to customize their email verification job. Not just do they include option to validate against our spam-trap indicators and complainers database but also the ability to utilize suppressed emails, deduplication, custom TLD’s, and SendEV score processing features. If you have a set of users who have explicitly known their interest in not receiving your emails, simply upload that list to our control panel and we will make sure they are not included in any of the email verification jobs you launch. This helps you keep away from complaints on unwanted email from your company. You also have the ability to choose where you would like the duplicate email addresses to be removed or kept in the list as they are. Another neat feature is the ability to automatically get rid of custom top-level domains. Don’t want any “” email addresses in the list? No problem, we can get those email addresses invalidated upon your request. Lastly, we can even send a blank email or verification email on your behalf to more accurately validate and verify whether an email address exists or not.
